If a message does not belong to that job, move it. The group names stay numbered so helpers can identify the right one immediately.

Final dates, venue links, dress notes, transport updates and the live schedule link.
House rule: Set posting to admins only so a venue change does not disappear under 86 congratulations.
03 · Wedding-week operations
Family leads + named cousins + coordinator
Pickups, samaan handoffs, vendor arrivals, missing people and urgent run-sheet changes.
House rule: Create it one week before. Archive it one week after.
04 · Travel and accommodation
Only guests who need logistics
Airport groups, hotel check-in, coach times, lift offers and a local emergency number.
House rule: Do not make 250 local guests read every Heathrow pickup update.

Give people names, not vague teams
- Schedule owner — updates the live timetable and posts changes
- Transport owner — coaches, pickups and stranded guests
- Samaan owner — knows who physically holds each ceremony item
- Venue liaison — speaks to the Gurdwara, hall and caterer
- Family caller — phones elders who do not use WhatsApp
Keep private information out of the big group
A convenient group is still a copy of your data on hundreds of phones.
Guest spreadsheet
Contains phone numbers, addresses, dietary or accessibility notes. Share only with the planning leads.
Payment screenshots
Bank details, balances and vendor disputes belong in the restricted decision room—or outside chat entirely.
Passports and IDs
Do not collect travel documents in WhatsApp. Use the airline, hotel or a restricted secure folder.
Children's details
Avoid posting children's full names, room numbers, travel plans or identifiable photos to broad groups.
